Guide contents

In short

AI pays off in a business when it starts with one specific task that keeps repeating: calls that go unanswered, customer questions in messages, or stock that runs out unexpectedly. This guide covers three areas in order: the voice assistant, the chatbot and inventory management. For each one it explains what it does, how it is set up and how to measure the result.

Many businesses lose revenue without it showing in the accounts: a call that rang while the team was with a customer, a WhatsApp message answered the next day, a product that sold out before the order went in.

The guide is written for owners and managers who want to understand what AI offers in daily operations today, without a technical background. It describes what SmartestVoice does. The checks it suggests apply to any service you compare.

AI for business: what it means in practice

In a business, AI is not a single product. It is software that understands language, finds patterns in data and carries out the steps of a process without anyone typing them. In a shop, a clinic or a hotel, that comes down to three practical jobs.

  • Handling the phone. Every call is answered, appointments are booked and requests are recorded.
  • Handling messages. Web chat, WhatsApp and Viber are answered from the business's own information.
  • Watching stock. Levels are tracked, an alert arrives before a product runs out and the reorder starts on time.

A system that runs around the clock takes on all three jobs. It does not replace human judgement. It deals with the repeatable cases and passes the rest to a person, so the team can focus on what needs real attention.

Where businesses stand today

According to Eurostat, 20.0% of EU enterprises with 10 or more employees used AI technologies in 2025, up from 13.5% in 2024. Greece sat in the lower part of the ranking, at about 9%.

The gap shows there is room for businesses that start now. The figures cover a wide range of uses, though, and do not say which task is worth automating first. That depends on where each business loses time or customers.

AI voice assistant: automatic call answering

The voice assistant is an AI phone assistant that answers the business line. A traditional answering machine records a message after the beep. A voice assistant talks to the caller, understands the request and takes the action needed.

SmartestVoice picks up within seconds, around the clock, and replies in the caller's own language.

What happens during a call

Every call goes through six stages. The quality of the service depends on all of them, not only on the voice.

  1. Speech recognition. The voice is turned into text.
  2. Understanding the request. The system works out whether the caller wants an appointment, information, a message or a person.
  3. An answer from your information. It uses the opening hours, services, prices and rules you have entered.
  4. Voice synthesis. The answer is spoken in natural Greek or English.
  5. Actions. The calendar is checked, the appointment is booked or the message is recorded.
  6. Summary and handover. A summary is saved and, when needed, the call passes to a person.

Transparency

At the start of every call the assistant says it is an AI system. The wording can be adapted. The statement cannot be removed.

Voices and language support

The assistant speaks Greek and English. You choose the voice and language in the settings and can listen to samples before deciding. For businesses with international customers, such as hotels and holiday accommodation, this means customer service in each caller's own language.

To check quality, make a test call with names, phone numbers and addresses. That is where pronunciation, pace and pauses show whether the voice suits your business.

Booking appointments and the calendar

An appointment is only worth something if it lands in the real calendar. The assistant checks availability, suggests times and records the booking, with no callback needed to confirm. Reminders and confirmations go out automatically after the call.

Test three scenarios: a new booking, a change of time and a cancellation. Also ask for a time that is already taken, to see whether an alternative is offered.

The knowledge base: Company Brain

The assistant answers only from what you have given it. In Company Brain you enter questions and answers, services, opening hours and your team. After you press Sync, the next call uses the new version. No technical knowledge is needed.

  • Greeting. The first sentence the caller hears.
  • When it answers. Always, when you do not pick up, or outside opening hours.
  • Special instructions. Fixed answers for the questions that matter.

Summaries, transcripts and handover to a person

Every call is saved with a transcript, a summary and an outcome. The automatic call summaries show in a few lines who called, what they asked for and what happens next. Notifications arrive by email and WhatsApp. The dashboard also shows call volume, busy hours and minutes used.

You decide which calls need a person. Write three rules, for example an emergency, a complaint and a billing question, and test them with a call. Also test the request “I would like to speak to a person”.

More about call statistics

Call forwarding and setup

You usually keep your existing number and forward calls to the assistant's number. You can forward every call, or only those that find the line busy or go unanswered. Forwarding codes and their cost depend on your phone provider.

Most businesses are taking calls through the assistant within a week. We set up the call flow with you, along with the connection to your number and calendar.

What to check before choosing a service

  • A test call using your own names, numbers and times.
  • Response time, and how it behaves when you interrupt it.
  • A connection to the calendar you already use.
  • The ability to change the answers yourself.
  • A clear statement to the caller that they are speaking to an AI.
  • Transparent costs: minutes, lines and setup fee.

AI chatbot: web chat, WhatsApp and Viber

Customers write when it suits them, often in the evening or at the weekend. An AI chatbot replies straight away from the business's own information and keeps the history in one place.

Why messages need their own solution

  • Evenings and weekends. A question answered the next day often ends up as a booking with another business.
  • Repeated questions. Opening hours, prices, directions. The team retypes the same answers instead of looking after the people in front of them.
  • Three inboxes. Web chat, WhatsApp and Viber are checked separately, and messages slip through when nobody owns them.

One assistant for every channel

Web chat, WhatsApp, Viber and SMS use the same assistant and the same information. The answer about opening hours is therefore identical everywhere, and when the hours change you correct them in one place.

The customer writes in Greek or English and gets a reply in the language they used.

Appointments and bookings inside the conversation

The customer picks a time and receives a confirmation without leaving the conversation. At a restaurant, for example, the question “are you open on Sunday?” can end with a table for four booked at 19:00, with a reminder before the time.

When the assistant does not know the answer

The assistant says it is not sure instead of making up an answer. The conversation stays in the dashboard so the team can reply. This separates a chatbot that reads the message from one built on fixed menu buttons, which fails as soon as the customer words something differently.

How it is set up in three steps

  1. Enter the business details. Opening hours, services, prices and usual questions.
  2. Connect the channels. The website, WhatsApp and Viber all point to the same assistant.
  3. Follow the conversations. Read what customers asked and adjust the answers.

The process is usually finished within a week.

How to measure the result

  • Time to first reply, before and after.
  • Share of conversations completed without the team stepping in.
  • Bookings that came from messages outside opening hours.
  • Questions left unanswered, so you can add them to the knowledge base.

AI inventory management

Stock decisions rest on numbers. A shortage costs a sale. An oversized order ties up money in products that do not move. AI inventory management watches the levels around the clock and alerts you before a product runs out.

Stock levels in real time

You send the product list and the reorder levels. We link them to the stock records or shop tools you already use. Each product appears in the inventory section of the dashboard, with its current level and its reorder point.

When product availability updates the moment it changes, decisions are not based on a spreadsheet last edited a week ago.

Reorder levels and alerts

When a product falls below its level, you receive an alert and the reorder starts before the shelf is empty. For example, a product has a reorder level of 10 units and 4 are left. The alert shows the balance and the level, and the order starts with the supplier.

Demand forecasting

The system learns which days and seasons are busiest. You then order the quantity you need before demand arrives, not after. Levels are set from your sales and your suppliers' delivery times, and reviewed with you.

Note

Forecast accuracy depends on sales history. A new product or a new shop needs time before there is enough data.

Anomaly detection and supplier tracking

A sudden drop or jump in stock can point to a counting error, theft or a supply problem. The system flags it for review. It also records supplier lead times and prices, so orders go to whoever delivers faster and cheaper.

What customers report

In the case studies with Xaki and Joker's, inventory management cut handling time by 80%, according to figures published by SmartestVoice. The percentage refers to staff time and is not a guarantee for every business.

Which businesses it suits

  • Retail and e-commerce, with many product codes and seasonal swings.
  • Hospitality and tourism, with consumables and suppliers that deliver on set days.
  • Healthcare and beauty, with supplies that must always be on hand.

How voice, chat and inventory fit together

The three areas work separately and can be started one after another. They share one dashboard, which holds the calls, appointments, customers and the inventory section.

The voice assistant and the chatbot are one assistant for every channel, using the same business information. If the opening hours or a price change, you change it once.

A shop with an online store could start with the chatbot for questions about deliveries and orders, add the voice assistant for calls, and connect inventory once shortages begin to cost sales.

How to start: five steps

1. Measure what you lose today

For one week, record the calls that went unanswered, the messages that waited more than an hour and the products that ran out. The missed call calculator gives an estimate of the cost.

Estimate the cost of missed calls

2. Pick one area

Start where the cost is highest. Add the other services once the first one runs steadily.

3. Write down the business details

Opening hours, services, prices, the cancellation policy and the topics that always go to a person. A one page document is enough to begin.

4. Test with real scenarios

Make test calls and conversations with the questions you receive most often, plus a few awkward ones: an interruption, a change of mind, an off topic question.

5. Read the results in the first week

Summaries and conversations show which questions went unanswered. Fill in the missing details and check again.

Where AI is not enough

AI handles the repeatable cases. A person is needed when:

  • the request calls for judgement, negotiation or sensitive handling, such as medical advice or a legal opinion,
  • there is a deadline, a right or a financial consequence that leaves no room for error,
  • the business details have not been entered or are out of date,
  • the customer explicitly asks to speak to a person.

According to SmartestVoice's AI policy, transcripts and summaries may be inaccurate or incomplete. The customer is expected to apply human review wherever health, rights or money are at stake.

  • Telling people they are speaking to AI. Article 50 of Regulation (EU) 2024/1689, the AI Act, requires people to be told when they are interacting with an AI system, unless that is obvious from the circumstances. The duty has applied since 2 August 2026. Fines for breaches can reach 15 million euros or 3% of worldwide annual turnover, whichever is higher. For small and medium sized businesses the lower of the two applies.
  • Recording calls. Telling people they are speaking to AI is separate from telling them the call is recorded. If you switch recording on, you inform the caller in advance and say why, in line with Greek law 3471/2006 and the GDPR.
  • Data processing. SmartestVoice processes call data on behalf of your business. The relationship is set out in a data processing agreement (DPA).
  • Security. Data is encrypted in transit and, where applicable, at rest. If you need documentation for your own compliance review, ask for it before you sign.

Frequently asked questions

Where should I start with AI in my business?

In the area where you lose the most today: calls, messages or stock. Measure for a week and start with one area.

Do I need technical staff to set it up?

No. You write the answers in the dashboard, and we set up the connection to your phone, channels and calendar with you.

Will AI replace my staff?

It handles repeatable calls and messages. Anything that needs judgement goes to a person, so the team can focus on the customers in front of them.

Which languages does it answer in?

The voice assistant and the chatbot answer in Greek and English.

How quickly does the service start?

Most businesses are ready within a week, once the business details and the number or channels to connect are in place.

What happens when the assistant does not know the answer?

It says it is not sure and records the request instead of guessing. The call or conversation stays in the dashboard.

Does the assistant have to say it is an AI?

Yes. Article 50 of the AI Act has applied since 2 August 2026, and the SmartestVoice assistant states what it is at the start of the call.

Is there a free trial?

Yes. Book a demo and we will set it up with you.

Does it connect to the tools I already use?

It can connect to the booking and record keeping tools you already use. Tell us which ones and we will look at it together.
