Reorder alerts before an item runs out

Set a reorder level for each item and SmartestVoice flags it as soon as stock reaches that level. Your team can also ask the assistant by voice which items need reordering.

Why reorder timing matters for Greek online shops

A sold out item costs a sale when the customer can buy it elsewhere. The 2025 GR.EC.A and ELTRUN survey reports that one in two shoppers who prefer Greek e-shops also use marketplaces or price comparison platforms, where offers from several sellers appear side by side.

Reorder timing also affects marketplace orders. On Skroutz Marketplace, the developer documentation lists out of stock at the shop or the supplier as a reason to reject an order, and the XML feed expects 0 for a product that is out of stock. Reordering before an item reaches zero keeps those cases rare.

A spreadsheet needs someone to open it. A reorder alert appears in the dashboard on its own when an item reaches its level, and the assistant can read the list out when your team asks.

How reordering works

1

You set a reorder level

Each item gets the level at which you want to restock, based on how fast it sells.

2

Stock reaches the level

The item is flagged in your dashboard as soon as stock drops to that level.

3

Your team asks by voice

A team member asks the assistant which items are at their level and hears the list read back.

What a Greek e-shop gains

Six practical results of reordering by level instead of by memory.

Fewer sold out items

Items are flagged before they run out, so fewer sales are lost to missing stock.

Supplier orders go out earlier

You see the reorder list as soon as items reach their level, not at the next weekly check.

Peaks planned in advance

Raise reorder levels before Black Friday, Christmas or a sale, and lower them afterwards.

Less money tied up in slow items

A level per item avoids ordering large quantities of slow sellers just in case.

Not dependent on one person

The reorder list does not rely on one colleague remembering to check.

Fits shops and wholesalers

Any business that holds stock sets a level per item and gets the same alert.

Asking for the reorder list by voice

An example of a team member asking the assistant. What it says follows the levels you have set.

Team member

Which items are at their reorder level today?

Voice assistant

Three items. The black trail socks are at 6 units, the 500 ml bottle at 12, and the grey beanie at 3.

Team member

How many grey beanies do we have exactly?

Voice assistant

3 units, below the reorder level of 10.

Team member

Thanks, I will order today.

Voice assistant

Noted. The beanie stays flagged until the stock level is updated.

Ask by voice, hands free

In the stockroom or on the shop floor, ask which items are low and hear the answer without opening a laptop.

Customers hear the real position

When an item is out and flagged for reorder, the assistant tells callers it is unavailable instead of promising it.

Greek and English

Your team and your callers can speak either language and hear the answer in the same one.

Alerts in the dashboard

Reorder flags appear in the dashboard for your team, next to the conversations about each item.

Fewer accepted orders you cannot fill

An accurate figure on the phone means fewer orders taken for items that are not there.

The same answer on every channel

Phone and chat draw on one stock level, so customers get consistent answers.

Reordering questions

Does it place orders with my suppliers?

It flags what needs reordering and when. The order itself stays with you. If you need orders sent to a supplier, tell us and we will explain what is possible.

Can I set a different level for each item?

Yes. Each item has its own reorder level.

What if demand changes with the season?

You can change a reorder level at any time, for example before a busy period.

Who receives the alerts?

Alerts appear in the dashboard for your team.

Can my team ask for the reorder list by voice?

Yes. A team member can ask the assistant which items are at or below their reorder level and hear the list read back.

What does the assistant tell a customer about an item that is out?

It says the item is currently unavailable. It does not promise stock that is not there.

How does this help with marketplaces such as Skroutz?

Skroutz's documentation expects 0 for an out of stock product and lets shops reject orders for items that are out of stock. A reorder level helps you restock before that point. Updating the marketplace itself stays with your feed or API, so tell us how your setup sends stock.
